Edit, archive or delete a Secret Santa exchange
Updated
Organizers and Co-organizers can edit details; archiving and deleting are organizer-only actions. Archiving keeps an exchange for later; deleting is the action for calling it off. Read the confirmation and review who will be notified before proceeding.
Change the exchange details
- Sign in to the organizer or co-organizer account and open the correct exchange.
- Choose Edit details, or open the exchange's Settings tab.
- Change the available details, such as the name, event date or budget.
- Save and check the exchange's displayed details. Tell participants about a change that affects their plans rather than assuming every edit sent an email.
Changing a budget or date does not cancel retailer orders or reimburse gifts already bought. Participant changes and redraws have their own effects; review those before confirming a draw-related action.
Archive a finished exchange
In the exchange's Settings tab, use Archive to put an exchange away while keeping its record. It moves to the Past tab for everyone, and no one is notified. To bring it back, open it and unarchive it. Archiving is not a new draw and does not reset the existing assignments.
Use Run it again for a separate new occasion when that action is available. Review its new dates, participants and exclusions before drawing names.
Call off the exchange
Open the exchange's Settings tab, scroll to Danger zone and, beside Delete this exchange, choose Delete. Read the Delete Exchange confirmation carefully. For a live exchange with other non-declined participants, the confirmation explains that they will be told it is cancelled. Completed or otherwise different exchanges may show different wording.
Deletion cannot be undone through the same screen. Wait for the result and check your exchanges before retrying after a connection failure. Participants who already bought gifts still need to manage those purchases with their retailers.
If editing controls are missing, confirm your organizer or co-organizer role. To add a helper, the organizer can use Co-organizers → Invite in the Settings tab. Archive and delete require the organizer account. A participant should contact the organizer about changes rather than use another person's account or private invitation.
